If outbound email from your cPanel account fails or external forwarders stop working, your hosting account may have been automatically flagged or blacklisted for outbound spam.
Why External Email Forwarding Fails
When you set up a cPanel email forwarder to send messages to an external provider (such as Gmail, Outlook, Yahoo, or BigPond), incoming emails are automatically routed to that third-party server.
If a spam email arrives at your domain and is forwarded off-server, the destination provider (e.g., Gmail) evaluates the incoming message. Because your cPanel server initiated the transfer, the destination provider views your hosting account as the spam sender.
-
Reputation Loss: Receiving providers flag your domain and server IP address for relaying spam.
-
IP Blacklisting: Automated filters place your server IP on real-time blocklists (RBLs) to protect end-users.
-
Delivery Halts: Once blacklisted, external mail servers block all outbound mail—including legitimate emails and automated forwarders.
Recommended Solutions
To maintain high email deliverability and protect your sending reputation, choose one of the following recommended configurations:
Option 1: Switch to Direct Server Mailboxes (Recommended)
Instead of forwarding emails off-server, create dedicated mailboxes directly within cPanel and connect your devices using IMAP or Webmail.
-
How to do it: Navigate to cPanel > Email Accounts and create a mailbox for your domain.
-
Benefits: Emails remain hosted securely on local Australian infrastructure. Spam filters process incoming mail before it hits your inbox, and outbound mail is properly authenticated via SPF and DKIM.
Option 2: Connect External Accounts via POP3 Fetching
If you prefer managing all emails inside a personal Gmail or Outlook account, configure your external provider to fetch emails from your cPanel mailbox via POP3 rather than using cPanel forwarders.
-
Benefits: The external provider pulls messages directly from your inbox using valid authentication credentials. This completely eliminates off-server forwarding risks and prevents IP blacklisting.
Option 3: Implement Premium Email Filtering
If your workflow requires active email forwarding, deploy an inbound and outbound spam filtering engine to inspect messages before they reach destination networks.
-
How to do it: Enable our Premium Email Filtering service through your UpTime Client Portal.
-
Benefits: High-grade security layers filter spam, malware, and phishing attempts before messages are relayed, ensuring high deliverability for all forwarded mail.
